POSITION SUMMARY: The Administrative Assistant provides administrative support to administrative leadership in a 24/7/365 organization.  Ideal candidates should be professional, polite, and attentive while also being accurate.  The Administrative Assistant must be comfortable with working in a fast-paced environment, computers, general office tasks, and excel at both verbal and written communication while maintaining enthusiasm and a positive upbeat attitude.

 

CLASSIFICATION:  Full-time – Non-Exempt

 

COMPENSATION:  $20-$21 per hour + Benefits

 

HOURS OF WORK:  Monday-Friday, flexible hours

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Accounting Assistance
    • Provides day-to-day support to the Accounting department with various accounting functions to include billing and payroll.
  •  Information Technology Assistance
    • Provides day-to-day administrative support to the IT department.
  • Human Resource Assistance
    • Provides day-to-day support to the HR department with various human resource functions.
  • Administration
    • Provides administrative support to the Administrative Team.
    • Develops and helps with the implementation of administrative procedures for improvement and maintenance of office management functions.
    • Maintains communications, internet and e-mail transmission/reception, fax sending/receiving, and file maintenance.
    • Assists with incoming/outgoing mail shipments.
    • Assists with organizing and scheduling meetings and appointments.
    • Assists with mail processing.
    • Assists with bank deposits and scheduling courier service.
  • Office Assistance
    • Provides office assistance where needed.
    • Assists with the proper operation of equipment by completing preventative maintenance requirements, calling for repairs, maintains equipment inventories and office supplies.
    • Maintains relationships with vendors.
    • When needed, acts as a liaison with landlord on building management and maintenance issues.

 

Minimum Qualifications:

  • Motivated self-starter, team player as well as ability to work independently with limited supervision
  • Strong analytical, time management, organizational and record-keeping abilities
  • Excellent verbal and written communication skills.
  • Must maintain and adhere to Crisis Support Services of Nevada’s ethics and confidentiality standards
  • Basic office skills and familiarity with standard office administrative practices and procedures
  • Computer literate; must be strong in QuickBooks, Excel, MS Office Suite
  • Ability to operate standard office equipment required.
